Lot Activity

Each lot has a lot activity timeline that shows a history of what has been happening on the lot. This timeline is an essential tool for tracking the progress and changes associated with each lot. It provides a comprehensive view of the lot's development over time.

Accessing the activity timeline

The activity timeline is accessible from the following locations.

  1. From Lot Summary: You can view the lot activity timeline by selecting the blue stage name link under Stage on the lot details page. (Note: If this link is unavailable, then there is no stage activity for the lot.) Clicking on the link will open the lot activity timeline on the right side for desktop and full screen for mobile.

  2. From Production Progress report: Clicking on a row in the production progress report will open the lot activity view.

Lot start

This marks the beginning of activity on the lot. It is the initial entry in the timeline, indicating that work has commenced. If a lot start date is explicitly provided, this will be used; otherwise, the startable date of the first schedule task will be used to calculate the start date.

Stage progression

As the lot progresses through various stages of development, each stage change is recorded in the timeline. This helps in tracking the advancement and identifying any delays or issues at specific stages. These stages are calculated based on the completion status of critical path schedule items.

ℹ️ Note
The stage progressions are recalculated automatically when there a schedule task is created, check off, or moved. Updates are run in the background and may not appear immediately on the timeline.

💡Tip

Editing the timing of historical tasks will change the stage history, which is re-calculated with each change.

Pre-requisites

This timeline requires lot activity to display anything. If there is not lot start date, or stages, or non-critical tasks assigned to stages, then there will be no activity to display.

Adding missing task stages

All critical path schedule tasks must have a stage assigned to them. If you are missing stages, you can add them by:

  1. Navigate to Lot Schedule History under the Reports navigation menu.

  2. Select the target lot in the upper right dropdown. Lots with missing stages are marked. Scroll or start typing to find a lot.

  3. Select the stage associated with each task. Each critical path schedule item will have a stage dropdown next to it.

💡Tip

Click on the green button on the upper right and select a schedule template to quickly assign stages to all tasks. Only tasks with descriptions matching a task in the template will be updated. Depending on the number of tasks, this may take a while.

The table may not always show your most recent changes. If you are missing stages, you may need to scroll up or down or refresh the page to see the changes. Manually assigning stages is temporary, so no additional improvements will be made to this experience.

Schedule changes

A schedule change activity is added to the timeline when the projected close changes. This can help track reasons for projected close dates over time.

The projected close is recalculated automatically when there a schedule task is created, check off, or moved. Updates are ran in the background and may not appear immediately on the timeline.

Provide change explanations

When a schedule change activity is automatically added to the timeline, it does not include a reason. There will be a notification on the lot page, community page, or schedule calendar view in the form of an alert message or a red notification dot. Click on these to view the activity needing an explanation.

💡Tip

Schedule change activities without an explanation on the same day are grouped together. This allows you to make multiple changes to the schedule and provide an overall reason for the change.
