Set up alerts that automatically email the right people when a work order is created or updated and your conditions are met.

Overview

The Alerts page lets you set up automatic notifications. When something happens to a work order and your conditions are met, TPTM emails the people you choose β€” a trade partner, a project manager, or any email address you enter. Use alerts so nobody has to remember to send an update by hand. Alerts are managed by builder admins under Settings.

Getting to the Alerts page

  1. Open Settings from the sidebar navigation.

  2. Click Alerts.

The table lists every alert with its Name and Trigger. Click a row to open and edit that alert.

How an alert is built

Every alert has three parts, shown top to bottom in the alert form:

  1. When the following happens β€” the trigger. This is the event that starts the alert.

  2. If all of these filters match β€” optional conditions. If you add filters, every one of them must match for the alert to do anything. With no filters, the alert always runs.

  3. Then perform these actions β€” what happens when the alert runs. Today the action is sending an email.

How to create an alert

  1. On the Alerts page, click Create.

  2. Optional: pick a ready-made alert from Start from template at the top of the form. The template fills in the name, trigger, filters, and email for you, and you can change any of it.

  3. Enter an Alert name.

  4. Under When, choose a trigger from Select a trigger.

  5. Under If, click Add a filter for each condition you want, then fill in its value.

  6. Under Then, click Add an action and choose Send an email to. Add the recipients, then enter a Subject and a Message. Type @ or use Insert variable to drop work order details into the text.

  7. Click Save. The new alert appears in the table.

How to edit or delete an alert

  1. On the Alerts page, click the alert's row. The form opens with its current settings.

  2. Change anything you need and click Save.

  3. To delete the alert instead, click Delete at the top of the form, then click Delete again in the Delete Alert confirmation.

Supported triggers, filters, and actions

Today there is one trigger. More will be added over time.

  • Trigger: Work order created or updated

  • Filters you can add to it:

    • The work order was β€” created, updated, or both.

    • There is a back charge trade β€” Yes or No.

    • The changed max price is greater than β€” a dollar amount.

    • The status was changed to β€” one or more work order statuses.

  • Action: Send an email to β€” one or more recipients, each emailed separately.
