AI Connectors
Connect Claude or Perplexity to TPTM so it can answer questions, pull reports and, if you allow it, set up and manage your data on your behalf — never beyond your own permissions.
Overview
AI Connectors let you connect an AI assistant — Claude or Perplexity — to TPTM so it can answer questions about your communities, lots, schedules, trade partners and work orders, pull reports, and, if you allow it, set up and manage that data for you. You choose what the assistant may see and do, and you can change or revoke that at any time. Any member can connect an assistant from Settings. A connector can never do more than you can: it works with your own TPTM permissions, limited further by the access you choose.
Getting to the AI Connectors page
Open Settings from the sidebar navigation.
Click AI Connectors.
Every member can open this page — no special permission is needed.
What you'll see on the page
Connect an AI assistant — the TPTM server URL you paste into your AI app, with a Copy button, and short instructions for Claude, Claude Code and Perplexity.
Your connectors — one card per AI app you have connected in this organization. Each card shows the app's name, the access you granted, when you connected it, when it was last used and how many tool calls it has made, with Edit access and Revoke buttons.
All connectors in this organization — shown only to members who can manage members. It lists every member's connectors with the owner's name, app, access and last use, and lets you revoke any of them.
How to connect an AI assistant
On the AI Connectors page, click Copy next to the server URL.
In your AI app, add TPTM as a connector and paste the URL. The exact clicks depend on the app — follow Connect Claude to TPTM or Connect Perplexity to TPTM.
The app opens TPTM in your browser. If you are signed out, sign in first — you will be brought straight back to the connection request.
On the Connect … to TPTM page, check the name of the app and where it says it will return you.
If you belong to more than one organization, choose one under Organization. The connector works only in that organization.
Under What may … do?, set a level for each access category, or click a preset: Read-only, Everything my role allows or None. You need at least one category turned on to approve.
Click Approve. You are sent back to the AI app, and the new connector appears under Your connectors. To cancel instead, click Deny.
⚠️ App running on your computer: if the page shows a yellow notice saying the app is running on your computer (for example Claude Code), only approve it if you started the connection yourself from an app you trust on this device.
What an assistant can do for you
Once connected, the assistant uses TPTM the way you would — within the access you gave it. People mostly use it for five things:
Set up a new space by conversation. Describe your operation and the assistant creates your brands, communities, lots (many at once from a naming pattern), buyers, trades, trade partners and their contacts, stages, holidays and schedule templates, then schedules lots from a start date.
Manage day-to-day data without clicking through screens. Edit any of those records, put a lot on hold, move a trade partner's tasks to another partner, attach work orders to tasks, update them and their custom fields, and move pay points along.
Change many records at once. Ask for "add a final inspection task to every lot in Willow Creek" or "push every framing task in September out a week", and the assistant makes the whole change in one go — after showing you how many records it will touch, when you described them rather than named them.
Answer questions the built-in reports don't. Ask "which trade partner was late most often this quarter", "average days in each stage per community", "total work-order spend by trade partner" or "which contacts have bouncing emails" — the assistant looks at the data directly, limited to what you can see.
Pull any built-in report. Lot list, lot stages, tasks, build time, production progress, lot history, daily schedule changes, trade partner performance, dashboards and leaderboards.
For example:
"Set up the Willow Creek community with 24 lots."
"Which of my lots have overdue tasks?"
"Show me lot 42's schedule."
"Put lot 17 on hold from Monday because of weather."
"Move all of Ace Plumbing's open tasks to Summit Plumbing."
"Which trade partners were late most often in August?"
"Which trade partners have bouncing emails?"
"Summarize yesterday's schedule changes."
With Read access the assistant can look things up, run reports and answer questions; with Read & write it can also make the changes you ask for. Two things it can never do, whatever access you give it: mark a task complete and record a lot walk. Those stay with people in the field.
Access categories
Access is granted per category, at one of three levels: Off, Read or Read & write. Every category offers Read & write when your role allows those changes, except Reports & Dashboards, which is always read-only.
Levels your TPTM role does not allow are not offered. A category shows Not available for your role when your role cannot see that information at all, and Your role allows read access only here when your role can view but not change it.
How to change what a connector can access
On the AI Connectors page, find the connector under Your connectors.
Click Edit access.
Change the level for any category, or use a preset.
Click Save. The new access applies from the assistant's next request.
How to revoke a connector
On the AI Connectors page, find the connector under Your connectors.
Click Revoke.
Click Revoke again in the confirmation dialog.
The assistant loses access immediately and the connector disappears from the list. To use it again, connect it from the AI app as if for the first time.
How to revoke another member's connector
If you can manage members in your organization, you can also revoke connectors that other members set up.
On the AI Connectors page, scroll to All connectors in this organization.
Find the member's connector and click Revoke.
Confirm by clicking Revoke in the dialog.
You can revoke any member's connector, but only the owner can change what it can access.

Frequently Asked Questions
Can an AI assistant do anything in TPTM that I can't?
Can an AI assistant do anything in TPTM that I can't?
No. A connector always works with your own TPTM permissions, limited further by the access categories you chose when you connected it. If your role can only view schedules, the assistant can only view schedules, even if you turned on Read & write. If your role changes, the assistant's access shrinks or grows with it right away — you do not need to connect again. If you are removed from the organization, all of your connectors for that organization stop working.
Can the assistant answer questions the reports don't?
Can the assistant answer questions the reports don't?
Yes. Besides pulling the built-in reports, the assistant can look at your tasks, lots, communities, buyers, trade partners, contacts, work orders, holds, walks and schedule changes directly, and group or total them however you ask — for example "average days late per trade partner for framing this year", "how many lots are in each stage per community" or "total work-order spend by trade partner". It needs Read access to the category the data belongs to, and it only ever sees the records your own role can see. Archived records are left out unless you ask for them.
The assistant says a tool isn't available. Why?
The assistant says a tool isn't available. Why?
The assistant only sees the tools for the access categories you granted, and only the ones your TPTM role allows. Either the category is turned off or set to Read when the task needs Read & write, or your role does not include that permission. Go to Settings → AI Connectors, click Edit access on the connector and raise the level. If the level you need is not offered, ask your administrator about your role. Two things are never available, whatever your access: marking a task complete and recording a lot walk.
Can the assistant delete things?
Can the assistant delete things?
With Read & write on the category, yes — and it does exactly what the Delete button in TPTM does. For communities, lots, buyers, trades, trade partners, tasks, work orders, stages, templates and locations that is an archive: the record is kept, and where TPTM offers a restore (trade partners, for example) the assistant can restore it too. A few small things TPTM removes outright — holidays, lot holds, trade-partner contacts, and custom work-order fields and their values — are removed outright by the assistant as well, and assistants are asked to check with you before doing so. The same check applies to bulk actions: scheduling a lot or a whole phase over an existing schedule, clearing a lot's tasks, replacing a schedule template's items, or replacing a lot's list of linked lots (the lots that must come before or after it). The assistant always needs the same permission you would need to delete that record yourself.
Can the assistant change many things at once? Is that safe?
Can the assistant change many things at once? Is that safe?
Yes. The assistant can add, update or archive up to 500 records in one go — for example "load these 40 buyers", "move all of Alpha Framing's open tasks to Beta Framing" or "archive these 12 lots". Three rules keep it safe. When you describe the records instead of naming them one by one ("every framing task in September"), the assistant must first show you how many records match and get your go-ahead; if that number has changed by the time it runs, it stops and asks again. The change is all-or-nothing: either every record changes or none does, so a problem partway through never leaves you with a half-finished job. And it can only touch records you could change yourself in TPTM — anything outside your permissions is left alone, and the whole change is cancelled if it would need to. As always, "delete" means archive, so the records are kept.
Can the assistant complete tasks or walk lots?
Can the assistant complete tasks or walk lots?
No, and no access setting changes that. Marking a task complete (or reopening a completed one) and recording a lot walk are done by people in the field, in TPTM. The assistant can still read the walk history and see when tasks were completed, so it can tell you which lots were walked this week or which tasks finished late — it just cannot record those things itself.
The assistant stopped working. What happened?
The assistant stopped working. What happened?
Three things end a connection: someone revoked the connector on the AI Connectors page (you, or a member who can manage members), you were removed from the organization, or the connector went unused for 30 days. In each case, connect the assistant again from the AI app to get access back.
I connected the wrong organization. How do I fix it?
I connected the wrong organization. How do I fix it?
A connector works in exactly one organization — the one you picked on the Connect … to TPTM page. Go to Settings → AI Connectors, click Revoke on the connector, then connect again from the AI app and choose the right organization under Organization. To use the assistant in two organizations, connect it once for each.
Does the assistant see everything in TPTM?
Does the assistant see everything in TPTM?
No. It sees only the categories you turned on, and within those only what your own role can see. Buyers, for example, are hidden from the assistant unless you turn on the Buyers category and your role can view buyers. You can check and change exactly what a connector can access at any time with Edit access on the AI Connectors page.
Can an admin see what the assistant did?
Can an admin see what the assistant did?
Members who can manage members see every connector in the organization under All connectors in this organization, with its owner, its access, when it was last used and how many tool calls it has made. They do not see the content of each call. A record of each call is kept for 90 days so support can help if something went wrong.
Why can't I choose Read & write for a category?
Why can't I choose Read & write for a category?
Two reasons. Reports & Dashboards is always read-only for connectors — reports are something you look at, not something you edit. For every other category, Read & write is only offered when your TPTM role can make those changes; otherwise the category says Your role allows read access only here, and if your role cannot see that information at all it says Not available for your role. Ask your administrator if you need a different role.
Why does the page say "This connection request has expired"?
Why does the page say "This connection request has expired"?
A connection request is valid for 10 minutes and can only be used once. If you took longer than that, or went back to a request you had already approved or denied, the page shows this message. Go back to your AI app and start the connection again.
I see "This connection request could not be started". What do I do?
I see "This connection request could not be started". What do I do?
This page means the AI app did not introduce itself to TPTM correctly, so TPTM stopped before it could ask for your permission. Nothing was connected and nothing in TPTM changed. The Reason line on the page says in plain words what went wrong — for example, the app did not answer in time or sent incomplete details.
Go back to the AI app, make sure it is up to date, and start the connection again. If it happens again, copy the Reference for support code from the page and send it to TPTM support — they can see the details on their side.
What happens if I connect the same app again?
What happens if I connect the same app again?
Connecting an app you have already connected in the same organization updates the existing connector with the access you approve this time — it does not add a second one. This is also how an assistant asks for more access: it sends you back to the Connect … to TPTM page with the extra category preselected, and nothing changes until you click Approve.
Does editing or revoking a connector undo what the assistant already did?
Does editing or revoking a connector undo what the assistant already did?
No. Changing access or revoking a connector only affects the assistant's next request onward. Anything it already changed in TPTM stays, just as if you had made the change yourself. Review the affected lot or task and correct it in TPTM if needed.
